Voice Meet ("we", "our", or "us") operates the voicemeet.in website and the Voice Meet mobile application. This Privacy Policy explains how we collect, use, disclose, and safeguard your information when you use our services, including our integration with third-party platforms such as Zoom Video Communications.
By using Voice Meet, you agree to the collection and use of information in accordance with this policy. If you do not agree with the terms of this privacy policy, please do not access the application.
2. Information We Collect
We collect the following types of information to provide and improve our services:
- Account Information: Name, username, and password when you register or are registered by an administrator.
- Zoom Account Data: When an administrator connects their Zoom account via OAuth, we receive and securely store OAuth access tokens, refresh tokens, and the associated Zoom email address. We use these tokens solely to create and manage Zoom meetings on the administrator's behalf.
- Meeting Data: Audio recordings of meetings conducted through Voice Meet, Zoom meeting metadata (meeting ID, topic, start/end time), and Zoom cloud recordings when enabled by the administrator.
- Device Information: Device identifiers, device model, operating system version, and app version for authentication and troubleshooting purposes.
- Usage Data: IP address, browser type, login timestamps, and general usage patterns collected automatically when you access our services.
3. How We Use Your Information
We use the collected information for the following purposes:
- To provide, operate, and maintain the Voice Meet platform including creating and managing Zoom meetings.
- To authenticate users and manage access to meetings and recordings.
- To store and provide access to meeting recordings for authorized administrators.
- To send service-related notifications such as account updates and subscription reminders.
- To improve and personalize our services based on usage patterns.
- To comply with legal obligations and enforce our terms of service.
4. Zoom Integration & Data Handling
Voice Meet integrates with Zoom via the Zoom OAuth 2.0 authorization framework. When an administrator connects their Zoom account:
- We request only the minimum Zoom API scopes necessary to operate the service (meeting management, user profile, and cloud recording access).
- OAuth tokens are encrypted using AES-256 encryption before storage and are never shared with third parties.
- Zoom data (meeting details, recordings) is accessed only when explicitly requested by the authorized administrator through our platform.
- Administrators can disconnect their Zoom account at any time through the Settings page, which revokes access and deletes stored Zoom tokens.
- We do not sell, rent, or trade any Zoom user data to third parties.
- Zoom cloud recordings are accessed on-demand and are not permanently stored on our servers.
5. Data Storage & Security
We implement industry-standard security measures to protect your data:
- All data is transmitted over HTTPS/TLS encrypted connections.
- Passwords are hashed using bcrypt with a cost factor of 12.
- Zoom OAuth tokens are encrypted at rest using AES-256 encryption.
- Meeting recordings are stored in secure cloud storage with access controls.
- Access to production systems is restricted and monitored.
While we strive to use commercially acceptable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is 100% secure.
6. Data Retention & Deletion
We retain your personal data only for as long as necessary to fulfill the purposes described in this policy:
- Account data is retained while your account is active and deleted upon account termination.
- Zoom OAuth tokens are deleted when an administrator disconnects their Zoom account or when their Voice Meet account is terminated.
- Meeting recordings are retained according to the administrator's configured retention policies.
- You may request deletion of your data at any time by contacting us at subscribevoicemeet@gmail.com.
7. Disclosure of Your Information
We may share your information only in the following limited circumstances:
- By Law or to Protect Rights: If required by law, regulation, or legal process.
- Service Providers: With trusted third-party service providers who assist in operating our platform (hosting, cloud storage), subject to strict data protection agreements.
- Business Transfers: In connection with a merger, acquisition, or sale of assets, with prior notice to affected users.
We do not sell, rent, or trade your personal information or Zoom data to any third party for marketing or advertising purposes.
8. Third-Party Services
Our platform integrates with the following third-party services:
- Zoom Video Communications: For meeting creation and management. Subject to Zoom's Privacy Policy.
- Firebase / Google Cloud: For cloud storage of meeting recordings.
9. Your Rights
You have the right to:
- Access the personal data we hold about you.
- Request correction of inaccurate personal data.
- Request deletion of your personal data.
- Withdraw consent for Zoom integration by disconnecting your Zoom account.
- Request a copy of your data in a portable format.
